Event Strategy: These Qualities And Actions Are Valuable In Event Planning

Event Strategy: These Qualities And Actions Are Valuable In Event Planning

Even though I roll isn’t to actually plan your event, we work with event planners every day. We absolutely love to see successful events and the people who work hard on them truly shine. Because of this, we really enjoy occasionally sharing some insight or tips that we’ve picked up along the way or learned from others. This is one of those articles, about event strategy and the things you can do leading up to events and even when you aren’t planning anything currently to keep your head at the top of the game.

Event Strategy #1: Don’t Avoid Metrics

Some of the best event planners have an intuitive knack for sensing trends or exactly what their audience wants to hear. The very best event planners, however, couple this with a close view of their mattress.

It’s essential that you monitor data from past events in order to strategize effectively in the future. You want to look at things like the cost of the events how are ticket sales were and what the overall Revenue was for the event. How many people attended?

Your online engagement is another excellent metric. Did you have good engagement leading up to the event? How was your engagement right now?

The more you keep your finger on the pulse of this information the more effective you will be.

Event Strategy #2: Prioritizing

Things are coming at you fast and furious. You need to check your metrics. you need to reach out to vendors. At any given time you’re talking to donors, venues, coworkers, company stakeholders, your sales team, your marketing team …

It’s easy to get lost in your daily tasks. Prioritizing is crucial. Some people like to use Simple lists in order to get an overview of what they have going for the day or the week. Other people enjoy using a digital task system like Microsoft Outlook offers or any number of other apps and clients including Google. Still others enjoy using an old-fashioned reminder system where they write things in a planner or even have a daily set of cards that they pull with the task for the day.

Throwback Tip: Tickler Systems

By the way, lawyers call the card system a Tickler system and it can actually be very effective. that fits regular size index cards, get a few separators that indicate the month and day of the week, start putting physical cards in the slots in order to remind you of what’s doing any given day. On the day in question, pull your cards and you’ll know all of your tasks.

You can use file folders instead if that’s easier for you.

Once you have all of your tasks outlined, time to work on the most important ones first. If you aren’t sure, reach out to your coworkers. Talking amongst ourselves can really help solidify what’s most important. Deadlines for things like venues and vendors are also important to know because these will affect your priority list.

Event Strategy #3: Incredible Communication

Speaking of vendors you spend a lot of your day talking. Communicating effectively is extremely helpful in your line of work. You want to be able to be friendly but still synced. When you communicate with vendors, you need to be sure to cover all of the bases like the date of the event size of the venue and any other information they might need.

One of the easiest ways to facilitate great communication is to ask a lot of questions. While you’re asking questions, invite your vendor or clients our co-workers to offer their thoughts. You may have several vendors and clients but there’s only one of you. Just like our kindergarten teachers told us if you advocate for yourself and they advocate for themselves you’ll get all the bases covered.

Event Strategy #4: Stay Trendy

Video Production Services You Need In The San Francisco Area

Video Production Services happen on-site with a remote team and in our studio space. In fact, we find that our video production services are increasingly becoming a larger part of what we do for clients. That’s because today, video is king on the internet. Additionally, video is a perfect medium for telling stories, teaching, and capturing memories that move while they also move us.

Today we’re here to talk about our video services, let you know what we offer, and also talk about how you might be able to incorporate video into your business help increase success. We will also touch on how regular people, small business owners, freelancers, and social media influencers can use video in order to establish authority or simply give an incredible gift to their loved ones.

Video Production Services For Ads Or Commercials

Advertisements and commercials have jumped off of television and into the palms of our hands thanks to the internet and mobile devices. This means that businesses of all sizes including freelancers and solopreneurs can all use commercials in an extremely cost-effective way online and through their social media channels.

We are fully capable of and excited to help you shoot the right kind of commercial for your business. This may include some footage we take on-site, with your professional team, and in our studio. We encourage clients to come up with the perfect script for them. However, if you need help in that regard we have connections to writers and other creative professionals. We can connect them with you to explore an expert’s opinion.

Video Production Tips For Commercials

A few tips that will help your digital commercial include adding text on the screen or some kind of captioning for people who may scroll through without sound on. This way, anyone who’s not in a position to listen to your message can still read it.

Another tip includes thinking about the first seconds of your commercial as a time to deliver your elevator pitch. Let people know who you are and what you’re about immediately. Then, you can use the remainder of the time in your commercial to add a sales message. Maybe you want to demonstrate your authority and expertise, or simply put your personality across to reach your audience.

Videos For The Office

You won’t believe the impact of video can make on your office team. If you want to deliver a pep talk and feel you may want to repeat this in the future why not turn it into a video? Maybe you have a special announcement about someone’s achievement or a milestone your business has reached.

Other ways you can use videos to reach your office team include promoting something fun like an office party or company picnic. Contests and sales goals associated with a type of reward system are also great candidates for promotion in video.

In some ways these types of videos are like commercials, however, your audience already knows you and what you’re about. This means you have even more space to treat the video as an instructable, Express a message, or pump up some excitement toward a goal.

Our approach for these types of videos is similar to commercials and that we can shoot on sight with you or at our studio.

Video Production Services As Training Materials

Training videos can be a crucial component in onboarding or whenever something has changed and you need to express that to your existing team. A training video allows you to spend time once getting information across and that hour or two hours can work exponentially for you without any further involvement from you.

Your new employees or existing team can watch this training video instead of attending a meeting. Then, they can refer back to it if they have questions. It’s an incredibly good use of time. Furthermore, many people are visual learners. This means written instructions are just not optimal for them. With video you can complement any written instructions or training materials and reach a wider and more diverse group of people in a way that works best for them.

Other Kinds Of Video Production Services

There are countless other kinds of videos that you might want to use for your business. For instance, maybe you’re a social media influencer and you have a giveaway coming. You’re probably already great at writing your own scripts and comfortable behind the camera. However, we can make this announcement look extra special. You can have access to our studio and our experience-driven videography skills. It will look next level.

Even if you don’t own a business or make your money on social media, you may have an important family reunion coming up that you want to spread the word about. Perhaps there’s been an important milestone that you’d like to express to your social media followers and family.

There is nothing stopping you from dropping by our studio and letting us quickly shoot a high-quality video for you. This way you have a wonderful video to share with anyone without needing to learn everything there is to know about video production yourself.

Wireless Mic Disaster: Avoid It With A Professional Sound Engineer

Here’s How A Professional Sound Engineer Can Help You Avoid Wireless Mic Disaster

A wireless mic can be a game-changer for just about any type of event, but they have a learning curve. If you want to avoid cumbersome cables but aren’t sure how wireless mics work, hiring a professional engineer is essential.

An experienced engineer can help you avoid some of the common problems people run into with wireless mics. Additionally, a professional knows how to properly set up the system so things run smoothly from the beginning.

Wireless Mic Signal Blockage Can Still Pull The Plug

Even without a plug, if you experience signal blockage, your sound grinds to a halt. Signal blockage occurs when something, particularly something metal, comes between the transmitter and the receiver. Even walls and large groups of people can cause this undesirable effect.

Not so fun fact, it’s the high salt content in the human body that actually interferes with the signal.

Because you’re bound to have walls and crowds to contend with, a professional sound engineer can help reduce the potential for transmission issues before and during your event.

Wireless Mic Signals That Can’t Go The Distance

Because radio waves disperse as they travel through space, the placement of your equipment really matters. Putting your components in the wrong place can cause weak, intermittent or even non-existent signal paths.

This concept is called strengthening Signal-to-Noise-Ratio. Believe it or not, you can’t place components too close together, either. Both of these issues can cause signal problems.

Professional engineers know how to assess a room and avoid these signal strength problems.

Wireless Mics Have Wavelengths That Vary

Unless you want to give yourself a crash course in the different wavelengths antennae utilize, you’ll need a professional to help with optimal wireless mic setup. In addition to the variables we’ve already mentioned, different antennae use different wavelengths and this contributes to ideal placement.

It’s one of the diagnostic tools sound engineers use to decide where components need to be.

Additionally, there are unidirectional and omnidirectional units and each of these behave differently and dictate different placement.

There are many variables to consider which is why professional experience is so valuable.

Wireless Mic Frequency Sets Need Attention

Here’s another thing to juggle – you need to ensure your wireless setup isn’t trying to operate on the same channels as local broadcasting networks. If you try to use the same channel that is already in use you’ll experience problems. This is most crucial to outdoor events.

However, indoor events featuring wireless mics also need to steer clear of channels any broadcast network within 30-60 miles.

If you’re using wireless microphones and wireless in-ear monitors together, things become even more complicated and require a frequency coordination computer program diagnostic. Guess who has that kind of program?

Professional sound engineers.

Avoid Event Day Headaches With Professional Help

The point of this article isn’t to scare you away from wireless mics. It’s actually the opposite. We love wireless systems because they give our clients the freedom to run their event exactly as they imagine it.

If you want to take the wireless plunge, however, hiring a professional team is truly the best way to keep the frequency on point.
